Essential Functions
Office
• Take the lead role as part of our front office team to ensure services, classes and events run smoothly and our members have a good experience
• Be a friendly face for the front office providing exceptional customer service to our members and community in a pleasant and professional manner
• Interact regularly with all staff and clergy, schedule and participate in team meetings, send internal communication
• Occasionally create online sign-up forms on our website, take RSVPs for events and create guest lists
• Be the main point person on our internal calendar, assign rooms and spaces, schedule meetings and events in a timely and orderly manner.
• Answer phones, greet visitors, direct vendors, receive deliveries as part of the shared role of the front office team
• Assist with assembling letters and mailings to congregation
• Act as another set of eyes to proofread digital and print communication
• Utilize media to offer online engagement with our membership

Events and Special Occasions
• Create event plans and checklists to ensure smooth processes
• Site lead to ensure setup and cleanup is completed in a timely fashion in coordination with our facilities team
• Take the lead as Shabbat Manager of small and large weekly tasks, order catering for kiddush lunches
• Part of staff team who shares responsibility to attend or be on-call, for occasional evening and weekend services and events when needed
• Track and monitor participation in services and classes in-person and online
• Provide High Holy Day team support with coordination, production, and on-site staffing.
• Progrannning support throughout the year for holidays and festivals
• Support work of clergy, communications, and engagement staff to promote events, classes, speakers and holiday gatherings
• Coordinate with b'nai mitzvah families oµ use of building and kiddush lunch
• Coordinate other lifecycle events with members such as anniversaries, aufruf, baby namings, and sponsored kiddush.

Clergy Support
• Administrative support for clergy - setup meetings and manage calendar. Setup virtual meetings as needed. Prepare materials for classes as requested.
• Relay information to staff as needed
• Provide follow up and gentle reminders about programming needs, create workback schedules and monitor deadlines
